HubSpot’s flexible reporting sharing options make it easy to keep both internal and external stakeholders up-to-date.
You can share reports and dashboards via email and external platforms (Slack), once or on a recurring basis depending on the report or dashboard’s configuration. Sharing reports fosters collaboration among team members by keeping them informed about performance metrics and essential insights. Furthermore, it enhances transparency for clients by granting external stakeholders visibility into the performance of campaigns.
Methods of Sharing Reports in HubSpot:
- Internal Sharing via Dashboards
- Scheduled Email Delivery
1. Internal Sharing
Set up a dashboard with relevant reports and manage access permissions. From the access options, you can choose to either give access to all users in the account or to select specific users or teams. Additionally, you can create private dashboards that will only be accessible by the owner.
2. Automated Email Delivery for Scheduled Reporting
After setting up access, you can notify team members by sharing the dashboard link, scheduling an email or through Slack. When selecting the actions dropdown of the report or dashboard you want to share, you can opt to share it via email or Slack. Once the channel is selected, you can select the frequency (e.g., daily, weekly, monthly) and time of the delivery. Next step is to choose the recipients - these can be both internal and external, as long as the permissions are also set to allow non-HubSpot users to receive the reports. Finally, customize the subject, message and format of the attachments (pdf. or Excel) desired.
Moreover, you can internally share the URL of a dashboard and export individual reports. After selecting the format of the exported file, this will be emailed to your inbox.
