How to use deal tags in HubSpot for segmentation of records?

Segmentation and efficient identification of records within your CRM is of utmost importance. Within HubSpot there are various ways in which you can partition records, one of which is through object tags.

What is an object tag?

HubSpot enables its users to effectively identify and prioritize the most relevant records through color coded object tags based on defined criteria. These object tags can be configured using preset templates created by HubSpot or by creating them from scratch allowing you to define your own unique criteria. 

What subscription do I need to create object tags in HubSpot?

The number object tags a user can create is dependent on the current HubSpot subscription:

  • Sales/Service Hub Starter: 20 assets 
  • Sales/Service Hub Professional: 40 assets 
  • Sales/Service Hub Enterprise: 80 assets 

In addition to the number of tags one can create, logic applied to object tags for deals is also limited to your subscription. If you have a Starter subscription, configured assets are applied to all pipelines within the account, whilst with a Professional or Enterprise subscription these assets can be configured for individual deal pipelines.

How do I create a deal tag?

In order to create deal tags you will need to take the following steps:

- Navigate to the gear icon (settings) found within the top right hand side of the navigation bar.

- On the left sidebar of the settings overview page, scroll down to the "Objects" header and select "Deals".

- Click the "Pipelines" tab and then select the "Deal Tags" option.

 

- To configure the desired deal tag you have the option to either select a preset tag template created by HubSpot, or create this asset from scratch allowing for a more customised approach.

 

 

Once you have selected the most appropriate option for your use case, the following configurations will take place:

- Enter a name and, if applicable, a description of the asset

- Select the "Color" dropdown options to assign a color to your tag asset

- As mentioned above, depending on your accounts subscription, you will then have the option to associated the newly created tag to all pipelines, or a specific deal pipeline.

 

If you had chosen to create a deal tag from scratch, the next steps would include adding filters to

the asset in order to create the criteria of your segmentation.

 

In the filtering section, you can define criteria not only based on deal object properties but also on associated object information, providing you with enhanced segmentation options. After configuring your deal object tags in the HubSpot portal, you can leverage them in various HubSpot tools, such as lists, workflows, saved views, and reports, to facilitate further segmentation and improve identification processes.
